About this role
Barentz International Headquarter is located in the Amsterdam area. In this dynamic role, you will act as a strategic liaison between the executives and their direct reports, ensuring seamless coordination of administrative and organizational tasks.
You will be responsible for organizing high-level internal and external meetings (such as Supervisory Board meetings, Management Board meetings, and the International Management Meeting), as well as managing communication and priorities across teams. Your ability to anticipate needs, maintain discretion, and manage multiple responsibilities will be key to your success.
Specific responsibilities:
- Anticipates needs, takes initiative, and prepares a daily schedule of meetings and priorities. Maintains calendar and makes all travel arrangements.
- Organizes, prioritizes, and summarizes the content of incoming materials, specially gathered information, special requests, and meetings. Exercises discretion and independent judgment while fielding telephone calls and emails to determine whether the Board member's involvement is necessary to support the business needs of the caller.
- Prepares and compiles materials for Board members, including meeting agendas when required. Organizes logistics for all meetings with Direct Reports onsite and offsite, including staff meetings and in-person meetings.
- Exercises independent judgment and discretion in responding to requests, issues, complaints, problems, and other action items in the absence of the Board member.
- Completing special projects and coordinating activities issued by the Board member. (Includes PowerPoint; one-off reports; maintaining org charts, etc.)
- Establishes and maintains office filing and other record-keeping systems, including expenses.
About You
Knowledge, skills & experience:
- 5–7 years of executive support experience in an international environment
- Strong background in secretarial support and project coordination
- Highly proficient in Microsoft Office, especially Excel and PowerPoint
- Self-starter with excellent organizational and decision-making abilities
- Strong interpersonal and communication skills, capable of interacting effectively at all levels
- Able to prioritize under pressure and meet tight deadlines
- Intercultural awareness and sensitivity; commercial spirit
- High level of professionalism, discretion, and intercultural awareness
- Flexible and adaptable, especially in working hours when needed
- Ability to stay focused in the face of multiple deadlines.
- Fluent in English (spoken and written); Dutch and other languages are an asset
